Full-Time Functions and Events Coordinator – Killcare/Norah Head

Job Description

A unique opportunity has become available for two driven and motivated Functions and Events Managers with strong food and beverage experience to help deliver functions in our exciting venues at both Killcare and Norah Head.

As a pro-active thinker with well-developed interpersonal skills, you’ll be managing all function enquiries from start to finish ensuring clients have an unforgettable experience.

Our Venue caters for all functions including weddings, engagement and birthday parties, corporate functions. We have the facilities to cater for up to 1,000 people, therefore your organisation skills need to be exceptional.

Your responsibilities will include but are not limited to:

  • Responsible to respond to all email inquiries & phone inquiries – revert to sale
  • Sales of events – maintaining existing client relationships and establishing new clients
  • Sales appointments and promotion of venue to potential clients
  • Liaise with clients who have confirmed
  • Creating new function files
  • Create Function event orders & proposals
  • Client venue inspections
  • Client meetings
  • Creating customised packages for clients orders for each department.
  • Coordinate entertainment, catering, decorations, schedule for the event etc.
  • Creating floor plans, seating lists, signage around club, Event Coordinate entertainment, catering, decorations, schedule for the event etc.
  • Coordinate event set up and pack down
  • Distribution of event function orders to all departments details in system (training will be provided)
  • Operation of Micropower – reversing, invoicing, creating new
  • Event administration including documenting of all transactions and preparing reports for our accounts department using Excel and Word.
  • Preparation of accurate and detailed run sheets
  • Invoicing, receiving and processing deposits and payments
  • Book all required external suppliers for future events and Coordinate supplier to client requirements
  • As required, assist with setting up and packing down all events- wedding ceremonies, wedding receptions
  • Liaising with our Head Chef, Restaurant Managers, Marketing Department and suppliers

The successful candidate must have at least 2 years’ previous experience in a management role, ideally in the hospitality industry and also possess the following attributes:

  • Excellent customer service skills and fantastic personal presentation
  • A strong drive to source and increase function sales with proven sales experience
  • A well-founded ability to sell events through networking outside of the business
  • Previous experience in a supervisory role in the hospitality industry
  • Experience managing large functions and associated administration
  • Exceptional organisational and time management skills
  • Knowledge of developing database contacts with business organisations
  • Strong attention to detail
  • An understanding of liquor licensing regulations
  • Sound knowledge of Microsoft programs / IT skills
